Define the package and its owner
Start with a representative export operation, with order, items, destination, participants and documents defined by a specialist. Link the commercial order, invoice, packing list, tax documents and transport records where applicable. Record expected, received, reviewed and superseded documents and who resolves each issue.
DU-E brings together information characterizing exports for customs and administrative control. Federal Revenue’s manual presents distinct stages, including preparation, cargo receipt, inspection, clearance, shipment and endorsement. Preserve these distinctions when designing tracking. The agent organizes evidence; this roadmap does not assume Zild registers declarations or performs customs acts.
Check versions, units and quantities
Extract fields with file and version references: item, quantity, unit, packaging, weight, currency and amount. Compare against the order and other documents using deterministic calculation rules. OCR can support reading; ambiguous results go to review. Do not convert gross to net weight or boxes to units without a confirmed rule.
Synthetic example: the order specifies 120 pieces and the invoice records 120, but the packing list states six boxes of 18 pieces, totaling 108. The 12-piece difference needs investigation. It could be a documentation error or partial shipment; the agent must not correct the invoice or assume the remainder will ship later. Record the decision and approved revision.
Track events with source and query time
Distinguish planned dates, dates reported by partners and events confirmed in the responsible system. Record source, timestamp, identifier and update conditions. A message saying “cargo released” needs context: it may refer to internal picking, a facility or a customs stage. Do not turn ambiguous text into a final status.
Build an exception queue by deadline and dependency: missing documents, inconsistent versions, delayed events or conflicting information. Define owner, next action and escalation time. If an integration is unavailable, mark data as stale and preserve the last confirmed event. Do not present a shipment forecast as proof of departure.
Preserve responsibilities and current rules
The foreign-trade owner should define classification, administrative treatment, applicable documents and operating conditions using current sources. The official manual states its version date and warns about subsequent changes. Record reviewed sources and revalidate guidance before applying a rule to a specific case.
The agent can summarize an issue and locate evidence for the declarant or specialist. Tax classification, licensing, registration, amendment and clearance must not be inferred from an AI response. Also confirm operations actually available through integrations: document ingestion in Zild does not imply a native Portal Único Siscomex connection.
Validate the workflow through financial handoff
Use synthetic documents and closed cases to test duplicates, superseded revisions, inconsistent units, partial shipments, out-of-order events and denied access. Check that each alert points to the right evidence and reaches its owner. Track review time, correctly resolved issues and rework alongside API consumption.
At completion, hand finance the identifiers, documents and confirmed states required by the workflow, keeping shipment, billing and collection distinct. Define who accepts the package and how later changes are communicated. Zild can connect agents, documents and tasks in this tracking; the pilot should prove required connectors and controls before expansion.
